Project Accounting Coordinator

In a nutshell:
We’re seeking a part-time Project Accounting Coordinator to join our creative team, working closely with the Directors, senior staff, and our administration team to oversee and manage financial systems, forecasting, and project accounting.
Purpose of the role:
The Project Accounting role is the key financial support for office invoicing and financial management.

Role Description:
This flexible, part-time position (3 days per fortnight) offers an opportunity to support a design studio environment by ensuring efficient and accurate financial management. The role is supported by an external accountant (for compliance and reporting) and external payroll provider.
Key Responsibilities include:
Manage monthly invoicing cycle for all projects
Ensure all new project proposals are accurately entered into Xero
Review weekly staff timesheets to confirm hours billed
Ongoing project financial management including:
Project accounting – tracking and allocating costs appropriately
Linking invoices to the correct projects
Managing project variations and closing completed projects
Conducting financial deep-dives with Project Directors
Develop and maintain project financial tracking spreadsheets
Including invoice reconciliation and progress tracking
Prepare monthly financial reports for the Directors and Management Team using Xero
Assist in broader strategic financial forecasting with guidance from Management
What We’re Looking For
Essential:
Proven experience in financial management, ideally within a design, consulting, or architecture environment
Strong proficiency in Xero and Excel
Experience working with consultants and managing sub-consultant financials
Confident in preparing and interpreting financial reports
Excellent organisational skills and attention to detail
A collaborative mindset and ability to work effectively with teams
Willingness to implement new systems or software as required
Ability to manage and meet financial deadlines for multiple complex projects
Must hold a current visa with work rights in Australia
Nice to Have (but Not Essential):
Previous experience in a landscape architecture, architecture, or consultancy environment
Experience with project management tools or systems
